Review board vacancies (Landscaping position)

We have a vacancy on the board – Landscaping. For now, Dan is handling the contract. We did renew the contract with Beau’s Landscaping. If anyone is interested in joining the board, please email infor@stoneridgefarmshoa.com

Updates
Treasury Report: Neil (shared screen and showed report to members report)

o   Comparison of December 2023 -2024

o   We have made many improvements over the last year – majority of spending was on improvement to the cabana, pool & general contracts for the neighborhood.

o   We now have to be very careful with what we spend because we are still running on a 2013 budget

o   We will need to propose higher budget – we get a lot of requests for improvements & those come at a cost

o   We spend approximately 57,000 per quarter about 20,000 per month

o   We are cautious about contracts and spending but we don’t have much of a reserve for incidentals and emergency & we need to consider that going forward

Possible projects going forward:

o   Re-mulch the playground

o   Resurface of the pool (largest projects) aprox 25,000 to resurface the pools

o   Considering an additional pump as a backup pump. Currently have a single speed pump. It’s been advised to get a variable speed pump.

o   We buy chemicals off season to save money $6,000 usually

o   Have to change out filter element on kiddy pool – change from sand to glass $1800

o   We dropped 25,000 on cabana remodel along with landscaping cost

o   50,000 on contractual (Landscaping_)

o   Possibly will need a new pool cover. We acid wash the pool every year. Looking at a hard cover vs the mesh to reduce the alge & acid washing

o   Insurance went up – it’s about 5,000

o   Pool area clean up (Vince)

o   Irrigation company (Grace Irrigation)

o   Security system

o   General utilities

We are doing great on the budget right now. We have received over half of the dues already!

We are definitely considering a special assessment and raising the dues.

Pool Update: Dan Orr (Cassie – Absent)

o   We will need a new kiddie pool filter

o   End of last pool season, we added the umbrellas and tables, we understand those will break & we do budget for them but let’s try to keep it nice.

o   Looking at adding an additional shaded awning on the north end of the pool.

o   People have been hard on the furniture for the cabana. We are considering raising the rental price of the cabana.

Landscaping update: Dan Orr (Vacant position)

o   We did renew contract with Beau’s Landscaping. They did great over the 2024 year and we voted to keep them onboard.

o   They are also working with our irrigation company – Grace Irrigation beds

o   The greenspace is owned by the army corps of engineers.

§  People can not ride motorized vehicles in the green space. We pay on a large contract a ton to keep that area green.

§  Certain areas of the neighborhood we are not required to mow. We must do an 8ft space as a fire break. We can not get more into that. Mowing more will get our HOA in trouble with the core.

§  They do not like to see mitigated areas in a neighborhood, but it is what it is. We can not clean up some of the areas. Dan is looking to get a map from the core to share with the neighborhood.

 

Media

o   Social media / fb – we are not obligated to have a fb page. Try to keep it kind. Formal complaints going to email.

o   Website – we are getting it redone & updated. We understand that it is missing meeting minutes and financials. Once the links are fixed we will work to get them back up asap. Email us if you are needing specific documentation for the time being.

 

Violations (Matt Ives)

o   Parking on the street. In OKC, it’s not against the law to park on the street. Parking on the street – it’s not really allowed w the bylaws but we can’t enforce it. However, it is a safety risk. Our Violations person, Matt, may come around and talk to you if you are parking in the street.

o   Please be aware in the am and evening for the kids.

o   We will send letters when we see violations or they are reported to us.

 

Homeowners Dues (Dan Orr)

o   Please make sure they are paid.

o   We took away the early incentive & we are looking at doing a special assessment to compare dues for our neighborhood.

o   We want data to lead informed decisions before we raise the cost of dues.

o   The board needs a rainy day fund so we can cover things outside our planned budget.

Residents (Linda)

o   23 bookings & 9 new neighbors since the last meeting.

o   Please do your best to not tear the tables and chairs up.

 

Social – Misty Orr (Blandy Absent)

The next event – Easter egg hunt April 19th usually in the morning – we will get that info out as we get there

The date for the spring garage sale – April 25th &26th

 

Reminder: We do not handle any money. Other than Linda who handles cabana. If we spend anything, HOA Services is asking for a receipt. When you pay dues it goes to them.          

Resident Questions / Concerns
*Email the HOA if you see violations.

Are you going to send a letter out letting people know about the motorcycles/4 wheelers can’t ride around the pond area? I’m sure those that do it aren’t here.

We are working to address it.  If you see this happening please email the board. Photos will help. Please do not handle on your own!

Does renting out the cabana get us any positive cash flow?

Currently, the rental fees do not cover the furniture repairs and replacements for the year. We would like to be at least even on the cost. The cabana rental fees don’t even cover the cost for cleaning at this point.

I tried to join the Facebook group (I just wanna keep up with events etc) and got blocked instantly… who can I contact about that?

Make sure you are answering the required membership questions. IT is very hard to keep scammers out of our group. If we block or remove you by mistake, please send an email so we can correct it!

New person moves in… Is their HOA fee prorated? Or does person that sold house cover the new owners?

That is all handled at closing. All dues must be up to date before closing on a new home.

I have a question about fishing at the pond. Can non-residence fish and/or are people allowed to take fish? A guy shows up in a white pickup during summer months occasionally and I’ve asked if he lives here, he says yes, but I doubt it. Can I/we put up signs deterring this practice if not allowed?

Dan is looking into all of this.
