HOA Annual Quorum Meeting Minutes
November 20, 2016
6:00 pm-7:30 pm
Call to Order: 6:10 pm
Board Attendees: Trip Ballard, Jake Kimery, Darren Christenson, Melissa Dana, Jayme Cincotta, Dustin White, Krista Clonts
Kyle Moore, Heather Simmons, Ryan Aller and Shelly Whiting-Out of town.
Introduction of Board Members
- Motion to approve previous meeting minutes: Approved
- Treasurer: Trip Ballard for Kyle Moore
- Residents made aware of negligent HOA dues.
- Ballot notification was sent out via (snail) mail.
- Bids for painting parking lot lines- HOA may decide to take this on our own, depending on handicap requirements.
- Waiting on bid for pathways on Korbyn & Agate.
- Obtaining bid from McDermitt for cabana addition.
- Budget/bids for dog stops.
Social: Krista Clonts & Jayme Cincotta
- Christmas Party is December 17th from 11:00am to 1:00pm.
- Santa will be here from 12:00pm to 1:00pm only. Bring your own phone/camera and an unwrapped toy.
- Discussed remind me app via text to send out reminders in future.
- Possible sign at entrance to promote events.
Welcome Committee: Krista Clonts for Shelly Whiting
- 11 baskets were passed out-no pool fobs included.
Pool & Cabana: Mellissa Dana
- Updates & maintenance: We currently have a single pump system and need to transition to 2 pump system.
- Received bids from 2 companies for resurfacing/cracks but are not pleased with either.
- Discussed possibility of changing to salt water.
- Possible splash pad in future-would need to purchase a new lot.
Landscaping/Maintenance: Dustin White
- Waiting on bids for sidewalk repairs.
- Waiting on bids to redo far west entry.
- We received approval from RLA to clean the west pond and NE entrance.
- Contract bid with Jason Whiting-added common areas, NW pond and east end.
- Mowing, plants, lights = $16,000 year. We can add cleaning Morgan & Memorial for $1,200.00 year or $35.00 an hour.
- Discussed street lights upkeep- They are city property and very costly.
Compliance/Violations: Darren Christenson
- Sent out reminder letters.
- Trash cans left out and cars parked on streets.
- Propose amendment to change this with 2/3 vote.
- Discussed walking door to door for vote for proposed amendments.
- Vote when dues are paid?
- Possible new language on ballot: I authorize the president to vote on my behalf to make a quorum.
- In January we will have a new company.
SRF Residents Forum:
- Question was asked about handling of our HOA dues/account.
- We have a management company that handles all of our financials.
- What is the status of the NW development and greenbelt? Timeline?
- Approximate guess of 5 years.
- Rumors have been heard about adding a second pool.
- At this time nothing has been discussed regarding bids/location of pool.
- Asked to add more pool chairs/loungers in future.
- The roads on Morgan & Memorial are terrible.
- Given input on where to file complaint with OKC.
- The minutes and property management are not current on website.
- Question was asked regarding compensation for the board on the ballot.
- Take out “for which it deems necessary by board.” (Article IV, para 14 & Article XIV)
- Discussion on limiting to a certain number helping or certain dollar amount.
