November 2019 HOA Minutes
November 18th HOA meeting notes:

Special Guest: Shelly Wolf with Grooms Landscaping
We have received 3 proposals for the front entrance: one from Grooms Landscape, Adonai Lawn and Perimeter lawn and landscape .
Grooms included the following: south entrance, median, pool beds, and the memorial entrance.
Can give us quotes through out the year to update with color flats. Design includes elongating the bed, they do a one year warranty, they evaluate the layout of the beds while reconstructing the beds to ensure the design looks great. Shelly will make sure everything is looking good before officially completing the job.
Adonai Outdoor lawn: the bid only included the south entrance/median;
Perimeter lawn & landscape services: includes, all 3 entrances as well, but not the pool flower beds.
Brian HOA President: we have received some tax bills in the mail, will work with the builder/developer to see who they belong to (responsibility wise)not sure when they were deeded to us trying (Looking for Clarification)…the bills were only for small amounts, but is working with Our HOA services to confirm.
We received our Pool cleaning quote, rates are not going up for 2020, 2019 paid 9,287.00, which included 3 cleaning a week, and us opening early, North West Pool Company will continue as the pool company for 2020.
Also received our cleaning quote for the nightly service, have requested for a night chair straighten so that the pool is ready for guests next day, we will move forward for 2020
Request to purchase two brooms/with scooper to our outside the pool area so guests can clean up messes made while visiting the pool, and one will go inside the cabana for easy cleanup after parties.
Resident Rebecca – in discussion of Christmas decorating contest, have nominations from the FB page, and then then we do a pole, sign in yard and a gift basket. Deadline to submit your vote by the 15th and announced in the 16th then have the signs for our yard, 1st/2nd/3rd place
Resident Jan – asking about Christmas lights for the entrances, May postpone due to possible flower bed updates
Brian HOA President – Person who hit Fence on Tegan lane in 2018, did 5k worth of damage, old president made payment arrangements and she has only made 1 payment and hasn’t made anything sense. Brian new president has sent emails to her but no response, will take legal actions if no response. HOA committee is looking for ways to contact the woman.
Water line leak towards the middle/end of summer causes a 3k water bill, the builder and city offices are working with Premium Land and we should be reimbursed back to us, once they hear back from the city with additional information.
Kyle Treasure: 81k in the HOA bank as of October 1st. Looking to move the info into a savings account to create a cushion for emergency needs.
Looking about adding a debit card for socials to eliminate back and forth between them and treasurer.
Considering lowering the early payment from 50 to 25, if paid before Jan 31st, to stop from having to raise the dues, with more houses we are gaining on more expenses. Will make that notice in letters this year.
Brian HOA President- Moving into 2020, we want make posts more visible to the homeowners, of where are funds are going by posting to the private FB page; we will include on our website once the update of our website is complete, which should be by the end of January/February.
HOA President is having a meeting with Premium Land regarding the wooden fence down memorial, may have meeting to discuss the ownership of that fence.
Heather Cabana Manager – has a proposal to upgrade the key system to add/delete the keys, etc. to include portal as well for her to quickly and accurately approve keys for new owners and people renting the cabana.
Shelly Welcome Committee – welcoming committee has 7 new baskets going out
Janelle Socials – Christmas Party will be Decemever 14th, we will have donuts, hot chocolate bar, face painter, letters to Santa, and make reindeer food! 10-12
Resident Amy – suggest the board meets monthly and then we have a quarter meeting with all residents, or even other month. Board will look at this option.
