Approval of Minutes
The minutes from last quarter’s meeting were voted on and approved prior to this
meeting.
Board Updates
● Landscaping position: Position needs to be filed. Dan Orr is currently
handling the new landscaping contract. We have one or two people –
if anyone is interested, email or message on Facebook.
● We have voted on a new treasurer! Congratulations Neil!
● Violations: Matt – has been volunteering with neighborhood
maintenance & is going to continue this while also moving into the
Violations position on the board.
● Secretary: Brittany – moved to secretary from landscaping
Project Updates
● Vice President: no updates

● Pool updates
o Dan – Cassie said we will have to resurface the kiddie pool.

● Landscaping:
o Board has voted to contract the 2024 landscaping company:
Beau’s Landscaping
o The new company walked the neighborhood with Dan & Brittany
and has already begun work.
o We had other companies submit bids, most of the bids were north
of 70k. Beau’s Landscaping bid $47,116 annually.
o If anyone sees areas that needs attention, please notify the board
via email and we will let Beau know asap.
o They will be mowing all common areas and taking care of all the
flower beds. In the contract for them to plant flowers in spring &
fall.
● Violations: no updates
● Maintenance:
o Touching up paint in the cabana
● Cabana Rentals:
o 5 cabana rentals in January
● Residents:
o 8 new residents
● Social: next event will be Easter – the weekend before Easter. As soon as
pool opens we will start the busy season.
Other Projects:
● A tree company has been contracted to start cleaning up overgrown
trees in common areas. This work will have to be done in phases. Due to
overgrowth in the drainage ditch on 137th, that will be the 1st phase.
o 1st phase: Trees around the large pond south of 137th between
Teagan & Kamber. They will be thinning out overgrown trees
around the pond & cleaning up the drainage ditch. We are also
including the dead end by the field/playground. This phase is
going to be starting the 2nd-3rd week of February.
o 2nd phase will be the field and creek bed north of 137th. Not scheduled.
o 3rd will be the pond around Drakes. Not scheduled.
● Johnston grass along Morgan – we are wanting to clean this up. We
plan to utilizing either our new landscaping team &/or tree company.
Both have brush hog equipment – we have had troubles getting brush
hogs out to our neighborhood in the past.
● Last quarter, we had the fire break extended behind houses that back
up to Morgan Rd. Areas behind Kamber & Tegan brush hogged and
south Morgan entrance cleaned up.
● Neighborhood being built to the north of Stoneridge Farms: We have a
few residents (who’s homes back up to the new neighborhood)
complaining about the grass under fences. The cows used to keep it
mowed down & when they moved them out the grass just got taller. We
cannot mow that; it is not our property. As we get updates we will keep
you posted.
Financials / Expenses
● Dues
o HOA dues are due at the end of the month (1/31).
o Resident’s dues are where the bank account comes from.
o Dues pay for the upkeep of the playground, pool, landscaping, etc. Dues also cover property taxes and utilities to keep everything running.
o When dues are not paid, that means the HOA has less money to its job.
o The cost of the pool is significant. The pool pump was just replaced in 2023. With growth of the neighborhood, we have to clean and maintain more often. We are maxing out capacity.
o It is now $47,000 a year for landscaping – it cost quite a bit for the upkeep of the neighborhood.
o In 2023 we had a $60,000 fence repair.
o All your dues help to keep it all going.
Line items Total expenses:
-October Social (Halloween),Utilities, Pool supplies, & Grounds (additional for brush hog service & closing
the pool) $12,951.18
-November Social (Fall Fest), Utilities, Grounds, Pool/cabana $7,500
-December Social (Christmas), Utilities, Grounds, & Property Taxes $10,672

October: $5,938.27
November: $13,496.15
December: $46,817.66
Current balance: $39,010.71 in checking & $81,617 in savings
● We do have upcoming expenses: landscaping bill went up, pool
chemicals are batch purchased to save money, & resurfacing of the
pool. Insurance premium went up 400 from last year. We did shop
around and try to get lower, but we decided to stay where we are.
● The cap on past due HOA dues is $750. If residents have a past due balance over $750, they will get notices from HOA Services to attempt to help them get caught up. Next step would be legal action. If you are having issues making payments, let us know so we can try to work things out.
Reminder: HOA board members – do not handle any money. We contract
with a company, HOA Services, to handle all invoices, violations and legal
issues. Any purchase or any invoices we pay get approved by the HOA
President and then HOA Services handle all accounting. They send out all
letters, bill paying, keep up with insurance & notify us when things are due.
Resident Questions / Concerns
● Tyler Rosen – signs for Halloween & Christmas – can bring them by Dan’s
house or lean against the front door of the cabana.
● Laban – water drainage? Lives on pond off Tegan – board clarified the
areas that will be cleaned up in Feb.
● Resident new as of last September – wants to subscribe to a newsletter
on the website. – working on a website and newsletter process. Will be
posted on FaceBook once it’s ready.
● Patrick – questions about parameters on a shed in the back. – email the
HOA with specifics and we will help by looking at the property
restrictions. Property restrictions can also be found on the HOA website.
● Simmonne: Pool summer league – swim league for like 6 weeks with
practice times – shoot us an email with the information & registration. So
we can check with insurance and such and go from there.
Announcements & Other Business
We love volunteers. We encourage residents to get involved and if you have
expertise in any area, let us know! We love help and you do not have to be a
voting board member to help and be a part of the team!
When the landscaping company spray’s the common areas we will give 24
hour notice! We will close the playground/field area for 24 hours.
